👥 User Roles

📖 Overview

User Roles makes Odoo user access management easier by allowing you to
create reusable roles.

A role is a group of Odoo security groups that can be assigned to users
together. Instead of manually selecting many access groups for every user,
you can create a role once and assign that role to the required users.

The module also supports start and end dates for role assignments, so a role
can automatically become active or inactive based on the configured dates.

👤 Create Reusable User Roles

Create a role and add the required Odoo security groups to it.

Example

Sales Manager Role

Users assigned to this role automatically receive the groups included in the
role.

🔐 Automatic User Access

When a role is assigned to a user, the module updates the user's Odoo groups
automatically.

This means you do not need to manually add the same security groups again.

📅 Role Start and End Dates

A role can have an optional From and To date.

For example:

From: 01/08/2026
To:   31/08/2026

The role is active only during the configured period.

This is useful for temporary access, projects, replacements, or limited-time
responsibilities.

👥 Assign Multiple Users

You can add several users to a role at the same time.

For each assignment, you can also define:

• Start date.
• End date.

This makes it easier to manage roles for teams.

🔄 Automatically Update User Groups

The module keeps user groups synchronized with their enabled roles.

When a role is:

• Added to a user.
• Removed from a user.
• Changed.
• Deleted.
• Activated or deactivated by date.

The user's access groups are updated accordingly.

A scheduled action also checks and updates roles periodically.

🧑‍💼 Create a Role from an Existing User

You can create a new role using the groups already assigned to a user.

This is useful when an existing user's permissions are already configured and
you want to reuse the same permissions for other users.

You can choose whether the new role should also be assigned to the original
user.

🧩 Create a Role from Existing Groups

You can select multiple Odoo groups and create a role containing those groups.

This is useful for quickly converting an existing group configuration into a
reusable role.

📊 View Access Rights and Record Rules

A role can show the access rights and record rules provided by its groups.

This makes it easier for administrators to understand what permissions a role
gives to its users.

👥 Default Roles for New Users

Roles assigned to Odoo's default user can be used as default roles for newly
created users.

This helps automatically provide the required role configuration when new
users are created.

⚙️ Installation

1. Copy the base_user_role module into your Odoo addons directory.
2. Restart the Odoo server.
3. Update the Apps List.

📖 Usage

🆕 Create a User Role

1. Open the User Roles configuration.
2. Create a new role.
3. Enter a role name.
4. Select the required Odoo groups.
5. Save the role.

The selected groups become part of the role.

👤 Assign a Role to a User

1. Open the required user.
2. Go to the User Roles section.
3. Add a role.
4. Optionally enter From and To dates.
5. Save the user.

The user's Odoo access groups are updated automatically.

👥 Add Multiple Users to a Role

1. Open the required role.
2. Use Add Multiple Users.
3. Select the users.
4. Set optional From and To dates.
5. Click Add Users.

All selected users are assigned to the role.

📅 Use Temporary Roles

To give temporary access:

1. Open the user role.
2. Add the user.
3. Set a From date.
4. Set a To date.
5. Save.

The role becomes enabled only within the selected date range.

🔄 Create a Role from a User

1. Open an existing user.
2. Select Create role from user.
3. Enter the new role name.
4. Choose whether to assign the new role to the user.
5. Click Create.

A new role is created using the user's current groups.

🧩 Create a Role from Groups

1. Open the Odoo user groups.
2. Select the groups you want to combine.
3. Select Create Role.
4. Enter a role name.
5. Click Create.

A new role is created with the selected groups.

The module creates a role from Odoo security groups and connects that role to
users.

For each user, only the currently enabled roles are used to determine the
role-based security groups.

A scheduled action named Update user roles also runs every 3 hours to keep
user access synchronized.
